VTRA COVID-19 Protective Protocols Handbook and Liability Release

Victoria Therapeutic Riding Association (VTRA) will be implementing certain guidelines and protocols in order to ensure the health and safety of the Participants, Volunteers and Staff at VTRA.  The necessary protocols put in place as a result of COVID-19 may not allow VTRA to run programming in the same format as the past. Group sizes may differ, as well as program delivery, dates and events.   

Our facility will also be managed differently in order to best follow health and safety guidelines, including a designated Volunteer Greeter, and additional signage in place to help direct you once you arrive at our facility.  

An optional Orientation Week is scheduled for September 14th18th that will allow participants to become familiar with the procedures and regulations put in place to mitigate risk. Please contact admin@vtra.ca to schedule your 30 minute Orientation Appointment.

 

This handbook is designed to provide a brief orientation to some of the changes expected. 

 

Lesson Format 

  • All staff, volunteers and participants will be required to wear Personal Protective Equipment (PPE may include a maskface shield and gloves) while participating in VTRA programs 
  • Participants who are unable to wear a mask will be offered a face shield (attaches to the brim of a helmet) while participating in the program 
  • Participants and family/caregivers are encouraged to bring their own PPE (clean mask and gloves) however VTRA will supply masks to those who require them 
  • Participants are encouraged to provide their own riding equipment (an approved RIDING helmet, boots with a small heel, and appropriate clothing for comfort) 
  • Participants who are unable to purchase their own equipment may be permitted to request equipment from VTRA for the term.  
  • All participants requiring sidewalkers will be placed in private or semi-private lessons to ensure physical distancing and reduce the number of people at the facility at one time 
  • Group lessons of up to 4 participants may be permitted for certain participants at VTRA’s discretion 
  • There will be a 15-minute break in between classes to clean all equipment used 
  • Participants involved in Adaptive Riding lessons will be asked to stay in the clubhouse and riding ring only (no additional barn time will be permitted at this time), while participants involved in Un-Mounted classes will be asked to stay in the Stable Management Room and barn. This is to limit the occupancy of different areas of the VTRA facility and stay within the guidelines set by the provincial health authority

Revised COVID-19 Sick Policy  

  • If you are feeling unwell, or have been in contact with someone who is sick, PLEASE DO NOT COME TO THE FACILITY for any reason 
  • If you or a family member are ill, with any common cold, influenza or COVID-19 like symptoms, parents/guardians must keep their participant at home until they have been assessed by a health care provider to exclude COVID-19, AND your/their symptoms have resolved (please review: https://www.healthlinkbc.ca/symptoms-covid-19) 
  • If you must cancel a lesson(s) due to a COVID related concernsplease alert the office as normal and then contact admin@vtra.ca to be issued a credit for a future lesson. If you are registered and have paid for a term but need to cancel due to a COVID related reason, please contact us and we will refund you for the missed term.  

 

Equipment Management 

  • Volunteers will clean equipment (saddles, reins, bridles, toys/games, door handles, etc.) between all classes 
  • Instructors will reduce the use of toys and equipment that cannot be easily cleaned in between classes 
  • Participants will be encouraged to purchase their own personal riding equipment (approved helmet, boots with a heel, gloves) and keep their personal belongings separate from others while they are at the facility. Individualized bags will be provided to help keep belongings and equipment separated. Participant are encouraged to bring their personal bag of belongings/equipment home with them after a class 

 

Facility Management 

  • Reduced occupancy limit in all areas the facility, including the clubhouse, barn and riding ring 
  • Separate entrance for Adaptive Riding vs Stable Management participants  
  • The volume of people allowed on the facility at any time has been greatly reduced. This means that we ask you to arrive only 10 minutes prior to that start of your class, rather than waiting longer than necessary in the clubhouse.  If you do arrive a few minutes earlier, please wait outside in the parking lot until it is time to enter.  
  • At this time, we are also not allowing siblings or other guests into the facility. Only one guardian/caregiver per participant please 
  • Hand sanitizing stations at all entry points 
  • Clear signage will be posted to direct all individuals on VTRA property to their designated areas, and establish rules and procedures such as occupancy limits for shared spaces 
  • There will be very limited waiting space available for viewers in the clubhouse.  A maximum of two viewing spots will be allowed. We encourage parents/caregivers to wait in their vehicle during a class, if possible 
  • Designated and separately marked spots for participants to wait for their classes to begin 
  • No food or beverages will be provided, so please bring your own if necessary 

 

 

 

 

Assumption of Risks and Liability Release 

Victoria Therapeutic Riding Association asks that you/your participant acknowledge the risks involved in the participation of group activities in shared space, during the COVID-19 pandemic. Please make yourself aware of the protective protocols put in place by VTRA in order to mitigate those risks and sign the Assumption of Risk Waiver Relating to COVID-19. 

 

Assumption of the Risk and Waiver of Liability Relating to Coronavirus/COVID-19 

 The novel coronavirus, COVID-19, has been declared a worldwide pandemic by the World Health Organization. COVID-19 is extremely contagious and is believed to spread mainly from person-to-person contact. As a result, federal, provincial and local governments and federal and provincial health agencies recommend social distancing and have limited the congregation of groups of people.  Victoria Therapeutic Riding Association (VTRA) has put in place preventative measures to reduce the spread of COVID-19; however, VTRA cannot guarantee that you or your participant will not become infected with COVID-19. Further, attending VTRA programming could increase your risk and your participant’s risk of contracting COVID-19.  

By signing this agreement, I acknowledge the contagious nature of COVID-19 and voluntarily assume the risk that my participant(s) and I may be exposed to or infected by COVID-19 by attending VTRA and that such exposure or infection may result in personal injury, illness, permanent disability, and death. I understand that the risk of becoming exposed to or infected by COVID-19 at VTRA may result from the actions, omissions, or negligence of myself and others, including, but not limited to, VTRA employees, volunteers, and program participants and their families. I voluntarily agree to assume all of the foregoing risks and accept sole responsibility for any injury to my participant(s) or myself (including, but not limited to, personal injury, disability, and death), illness, damage, loss, claim, liability, or expense, of any kind, that I or my participant(s) may experience or incur in connection with my participant(s) attendance at VTRA programming. On my behalf, and on behalf of my participant(s), I hereby release, covenant not to sue, discharge, and hold harmless VTRA, its employees, agents, and representatives, of and from the Claims, including all liabilities, claims, actions, damages, costs or expenses of any kind arising out of or relating thereto. I understand and agree that this release includes any Claims based on the actions, omissions, or negligence of VTRA, its employees, and representatives, whether a COVID-19 infection occurs before, during, or after participation in any VTRA program.  Please sign below:
